The process of organizing time involves creating an integrated structure and plan for all roles, by identifying and distinguishing the various necessary activities. To achieve the goals of the individual or institution, grouping these activities into groups, appointing an individual, or a group of individuals, to each of these groups, and delegating designated authority, or management; To implement all activities, with the need for integrated coordination between authority relationships, vertically and horizontally in the organization’s organizational structure, and in the absence of time regulation, it will be difficult to reach the required goals, and time and precious opportunities may be lost in institutions and societies. The importance of organizing time

There are many benefits that lie behind organizing time and making optimal use of it, and the most important of these benefits are:

  • Balancing work duties, family, and personal needs: A person who organizes and manages his time well will be able to achieve a balance between different duties, needs, and work.
  • Optimum use of effort: Organizing time contributes greatly to saving effort, not wasting it, and making the most of it. Organizing time in study, for example, will enable the student to benefit from the effort he makes and achieve benefit from it. To obtain high and distinguished academic degrees.
  • Avoid confusion and duplication: Organizing time helps a person achieve psychological balance, and prevents tasks from being performed at the same time. This leads to wasting energy and effort.
  • Management satisfaction at work: An employee who is keen on organizing his time, and who seeks to avoid negligence in his work, will gain satisfaction and merit from management, and may obtain rewards.
  • Completing work on time: A person who organizes his time will be able to do his work as soon as possible, and will avoid its accumulation. So that it does not become difficult or impossible to perform.
  • Clarity of mind and focus on work performance: Organizing time effectively helps the individual know the duties and what specifically needs to be accomplished, which makes him not distracted, becomes more focused on the work he is performing, and will be able to complete this work effectively and with perfection.

Time management rules

There are four basic rules: To achieve successful time management, these rules are:

  • Business programming: A successful and purposeful person performs several different tasks during his day, which are divided into:
    • Fixed works: These are the usual works, such as worship, work for a living such as a profession, a job, or a craft, developing competencies, visiting friends, maintaining family ties, entertainment, sleeping, shopping, and rest, as the fixed works represent the work that the majority of people participate in, and they may also participate in In its type, such as crafts and professions. In order to rationalize and organize time, these tasks are scheduled and programmed, either mentally (i.e. in the mind), or - preferably - through writing down on paper, where the fixed tasks that must be performed during the day are written down, and a schedule is drawn up for them during the days of the week. It is worth noting that scheduling work contributes to organizing time, controlling it, and making optimal use of the available time.
    • Non-permanent work: These are exceptional or emergency tasks, and organizing time for them requires writing down a list of these tasks, arranging them according to importance, then performing and executing them.
  • Do not postpone work: One of the most important rules for organizing time and work is not to postpone today’s work until tomorrow, or the future. Postponing it leads to wasting time and disrupting work, and the person may feel anxious, stressed, psychologically and physically tired, and mentally crowded. However, doing the required work without postponing it contributes to a person’s feeling of accomplishment, comfort, and happiness.
  • Applying the rule of the most important is the most important: This is known as the rule of the hierarchy of priorities, as this rule states that not all actions have the same level of importance and necessity. Where there are tasks that are more necessary to accomplish than any other work; There are necessary works, less necessary works, and ordinary works, and by observing the application of this rule, the individual or institution will be able to organize and control time, in addition to performing the work wisely and successfully. However, neglecting this rule will lead to paralysis, malfunction, and confusion in the work.
  • Choose the right time: To achieve successful time management, a person must take into account that choosing the correct and appropriate timing is crucial. The time may be appropriate to perform a task, or not to perform it, or it may be appropriate to speak or be silent. If a person masters the art of knowing the appropriate time for his work, for example, or for his marriage, or for his relationship with others, then he will achieve success and happiness.
  • Learn patience: Patience is a moderate mixture of wisdom and self-control, and acquiring patience enables a person to know that any work done prematurely may spoil everything.
